• Manage Health and Size of Mail Database.
- Keep mailbox clean by deleting all unnecessary mail.
- Empty “Deleted Items”, at least once a week. Many people do not realize that mail in “Deleted Items” is weighing down your mail database. Utilizing “Shift Delete” bypasses “Deleted Items” folder.
- Large file attachments - Reducing the size and amount of fi le attachments will keep your
mail database much smaller and healthier. Utilizing a web-based solution for collaborating
on projects that revolve around “large” fi les keeps these fi les out of email. A “large” fi le is
subjective and we consider anything over 4Mb to be large.
- When deleting mail, it is good practice to make changes in smaller chunks, 100 messages at a time is wise. This aids in Exchange’s synchronization performance.
- Archive old mail twice a month to keep your local and online database running optimally.
And it is wise to backup your archive to another drive or CD.
- Mail database has a limit. Please do not push your database to the limit, this will degrade
performance and heighten risk of corruption to entire database. In short, you risk losing all of your mail. We recommend keeping your archived mail less than 2.5GB and your Exchange mailbox less than 1.5GB.
If message is of utmost importance the best practice is to print out or copy message along with any attachments and store outside of Outlook.
• Spam Reduction will improve overall email performance. Currently over 70% of all email traffic is spam. Advice for controlling spam:
- Never publish email address on websites, software robots scavenge the web and add your address to spam lists. This includes your own website and message boards, craigslist and sites of this nature.
- Never reply to a spam message to be removed from list- only when you requested an email subscription should you respond.
- Utilize Outlook’s built in mail fifi lter and Subscription services (MXLogic) by modifying the
allow and deny lists.
